Unfortunately, you have canceled one or more licenses. In this document, we share as much knowledge as possible about the possible consequences of a cancellation. 

The cancellation of a license will be automatically transferred to RetailVista (depending on the number of months notice period). A change will only take effect after the notice period has expired. This is often 1 month, but it can also be 12 months. Every month, a new license is automatically created and sent to RetailVista, which starts on the first day of the new month. This means that a license change can have consequences for the operation of RetailVista from that moment on. If you have canceled one of the licenses listed below, we advise you to be aware of the possible consequences.

CAL

The license may mention a 'CAL'. This stands for 'Client Access License' and means that there is a count. This can be, for example, the number of POS terminals, the number of webshops, etc.

POS terminals

When reducing the number of POS terminals, it is important to also reduce the number of active (not expired) POS terminals in your RetailVista environment to the number specified in the license. If the number of POS terminals is higher than the number in the license, the processing of transactions will be temporarily blocked. This means that no sales mutations will occur and returns cannot take place on those transactions. No data will be lost: Once the number of POS terminals matches the license, all transactions will be processed. The number of non-expired terminals can be checked in the POS terminal maintenance. This number should not be higher than the total number of POS terminals in your license.

Webshops

When reducing the number of webshop CALS, it is important to also reduce the number of active (not expired) webshops in your RetailVista environment to the number specified in the license. If the number of POS terminals is higher than the number in the license, the processing of webshop orders will be temporarily blocked. This means that no sales orders will be created and their fulfillment cannot take place. No data will be lost. Once the number of webshops matches the license, all incoming webshop orders can still be processed. The number of active webshops can be checked in webshop maintenance. This number should not be higher than the total number of webshop CALS in your license.

Parcel services

Parcel services have licenses based on a number of CALS and the type of parcel service. An example of this is SendCloud. It doesn't matter if a parcel service with the same type designation (for example SendCloud) is created multiple times, this counts as 1 CAL. If you have canceled one or more parcel service CALs, check in parcel service maintenance how many different types of parcel services are in use. If that number is higher than the license, order fulfillment cannot take place anymore. In addition to the number of CALs, it is important to pay attention to the cancellation of a specific type of license. For example, if Post NL is canceled, it will no longer be possible to register a package with PostNL from the order fulfillment. Therefore, it is advised to mark all parcel services linked to PostNL as expired.
