Inventory within RetailVista & RetailVista Mobile X
Inventory
The inventory (Start -> Stock -> Inventory) can be filled in multiple ways, like:
- Adding a single product to an inventory
- Using a mobile scanner (RetailVista Mobile X)
These are explained below.
Adding a single product to an inventory
Adding a single product will only occur in exceptional situations, but it is possible by clicking on add in the inventory (Start -> Stock -> Inventory).
Inventory using RetailVista Mobile
By choosing the inventory module on the scanner in RetailVista Mobile X, products can be easily scanned and quantities can be specified.
When a product is placed in the inventory, it is given a count date and time. If the same product is also sold on the same day, there will be a slight discrepancy in the count. The sales of the product from a day after the count date will eventually be adjusted when processing the inventory.
Example: Product x is counted on 09/01/2023 with a quantity of 7 pieces.
On 11/01/2023, 1 piece of this product is sold, and on 12/01/2023, 2 pieces are sold.
Ultimately, when processing the inventory, the final stock will be 4 pieces.
Inventory reports
Before processing the inventory, several interesting reports can be printed in the inventarisation period. This means that products that were received during the inventarisation period will not be counted in the inventarisation. These products have to be processed separately.
Products with a negative stock balance
If there are products with a negative stock balance, they need to be treated separately. This can be done by setting the stock to zero for these products.
It is important to select the correct date for setting the stock to zero. This date should be after the last inventory date, preferably one day later.
The inventory period must also be specified to ensure that stock movements during this period are not set to zero.
Example:
If the inventory was conducted from 01/01/2023 to 15/01/2023, the following data can be entered when setting the stock to zero.
This ensures that all stock movements between 01/01/2023 and 15/01/2023 are not set to zero. The zero-setting date of 16/01/2023 is one day after the last inventory date.
Note: This only counts for stock adjustments and not for inventarisations in the selected period. For products for which a stock adjustment is done (manual or through inventarisation), the resetting will be ignored.
Received products during the inventory period
Received products are not included in the inventory period. This means that products received during the inventory period are not counted in the inventory. These products must be processed separately.
In the inventory process, so during the inventory period, nothing can be booked.
Receipts during the inventory must either be received after the inventory period or be counted during the inventory.
Inventory in parts
The information above assumes that everything is counted, processed, and the rest is set to zero.
It is also possible to process per preferred supplier, brand, article category, or cash register group, etc. by specifying filters when processing the inventory.
The procedure does not change further. Generally, this is a bit more difficult than processing everything at once. It must be certain that everything from this preferred supplier, brand, article category, or cash register group, etc. has actually been counted.
