Making a Sale Order

This article describes the procedures of how to create sale orders.

->RetailVista -> Sale orders

Select “Saleorder maintenance”.

 Depending on your individual setup one of the following will occur:

•     If search screen DOES NOT appear, click on the search glass in the left top and select "Search".

•     If the search screen DOES appears, select "Search".

Close this screen to be able to add a new Sale order. To begin the process of adding a new sale order, click on the green “+” symbol.

The first screen is for some basic information, see image below.

When you have completed this screen, click “Next” to continue.

In this screen you can add the products by clicking on the green “+” symbol before the text “Add Sale order Row”.

Discount type: “NoDiscount” shows that there are no given discounts. If you fill in a discount price manually, it will show “ManualRowDiscount”. So you always know if the discount was performed manually. 

Reservation amount: When you enter the amount and the product you will see that the reservation amount will be filled in automatically. If this is not the case, this can be set in “Saleorder classes” on tab “Reservations”.

Here you can set whether the reservation amount in the sale order will automatically be set and if the reservation amount has to be dependent of the stock or can be the same as the sale order amount. It is also possible to set at which status to generate the reservation rows.

This can be set per sales class differently.

On the tab “Advanced” you see the standard settings of the selected product. In this tab you are able to deviate from these standard settings.

To continue you can

•     save the current record and add a new record by clicking on the following symbol:

 If you chose this symbol you can easily add more records one after another; or

•     save the current record by clicking on the following symbol:

•     cancel this entry by clicking on the following symbol:

The other green “+” symbol: “Add free entry product” are products that do not appear in the product maintenance. This product can be used to order products that are not standard products from the supplier. This can only be used when a “free entry product” exists in the “product maintenance” of RetailVista with a supplier. A supplier is obligated, because it is possible to make a purchase order directly from the sale order. To be able to make a purchase order a supplier is obligated.

Save the sales order by clicking on the “Save” symbol on the left side of the screen. On the left side of the screen you also see the possible task you can perform.

Sale order complete

Once a sale order is complete, change the sale order status to “EntryCompleted” (Tab “General”), and save the changes.

Save the changes by clicking on the “Save” symbol on the left side of the screen.

On this tab it is also possible to give a discount percentage or discount price on the whole sales order. Not just only on a sale row, like you can do in the sale rows.

Now you see the “reservation” is filled with a number. When you click on that number you go directly to the reservation.

At this moment the only way to be able to make changes in the sales order is to reopen the sales order. See also guide Reopen Sale Order.

Final sale order

In the settings it is possible to change an order from status “New” directly to status “Final”, without making concept orders. This will simplify the process.

->RetailVista -> Extra -> Settings -> Section “Sale orders”

Change the value of “SaleOrders_IsAllowNewSaleOrderStatusFinal” in to “Yes”

Once a sale order can be finished, the sale order status can now be changed directly to “Entry verified” (Tab “General”).

If everything looks ok, you can print a final sale order.

Click on the following symbol on the left corner to print the final sale order:

After printing the final sale order, and closing the screen, you can approve this final order.

 The status of the order is “Final” and you can print and fax or email the order.

Sale order settings: printing a final order in status “New”

In the settings of sales orders, you can indicate whether the concept order can be skipped. Then you are able to print a final sale order when the order has status “New”.

To change these settings, go to: -> Extra -> Settings -> Section SaleOrders -> “SaleOrders_IsAllowNewSaleOrderStatusFinal”
