Article summary

This guide describes how to use manual stock values instead of calculated stock values. For auto stock settings, please see guide Auto Stock - Setup

As with auto stock, purchase orders can be generated based on these values. When you are using auto stock, you can use the manual stock to make some exceptions on specific products.

We will show you using the example "Cupcake couture-tea for one".

First, we need to look up the specific product via -> Start -> Product maintenance

Stock: Here we can see that the stock level is 0.
Stock info: Here we can see that the ordermethod is ByStock and we use calculated stock.

We now go to tab "Availability".

Here we can see the stores. Double click on the store to change the stock settings on that specific store. In this example we use "Green Meadow Garden Centre".

On tab "Auto stock" we will make the adjustments. Use the "Edit" icon to make the adjustments.

Use manual stock values instead of calculated values: needs to be checked in order to be able to use manual stock values.

Manual minimum stock: Fill in the amount of the minimum stock, in our example this is 10
Manual optimal stock: Fill in the amount of the optimal stock, in our example this is 15

Click on the "Save" icon to save the adjustments.

Depending on your template, you can now see the adjustments we have made.

This is also visible on tab "Summary".

Stock info: Here we can see that the ordermethod is ByStock and we use Manual stock. The values 10 and 15 are also shown.

When generating purchase orders, these values will be used.

-> Start -> Purchase orders -> Generate purchaseorders

Look up or fill in the specific supplier and click on "Generate purchaseorders".Now you will find the task and report file. You can download the report file to see if everything went ok. Or you can go to -> Extra -> Tasks to look up the task and find the report file there.

When we go to -> Start -> Purchase order maintenance, we can see the new purchase order which is marked as "AutoFillOrder".

When we open this purchase order and go to tab "Rows", we can see the purchase amount is 15,00.

When the stock amount goes below the minimum stock of 10, the order amount will be supplemented to the amount of the optimal stock of 15. When the stock is between the minimum stock and the optimal stock, there will be no purchase order. In this example, when there is a stock of 13,00 there will be no purchase order when we generate purchaseorders.
