This offers the possibility to add visual information to articles, which can help in recognizing and identifying products.

When searching for products, a filter can now be activated to only search for products that have or do not have an image. This is a useful addition, especially when preparing a part of the product database for a webshop.

If a product is on sale, a balloon icon is now displayed next to the gross selling price of the product. By hovering the mouse over it, an overview of all active discounts at that moment will be immediately visible.

Product lists

(Version 19.17.7206.36426) Task 18741 - Report 182, please add filter screen beforehand

This is a report of a product list with locations. It shows on which locations the same product from a product list can be found.

This report now includes a preselection where the primary (1st) warehouse location can be indicated. This is a dropdown of warehouse locations level 1 table.

In the report, please sort the product list line by all possible locations where stock is available, but specifically sort first by the locations of the indicated 1st warehouse location.

By indicating where you are (physically), RetailVista will primarily sort the report based on the locations of the indicated 1st warehouse location. Only then will the alternative locations be displayed.

Within the primary locations (level 1), sorting will now be done from highest to lowest stock.

(Version 19.5.6985.28728) Task 18435 - Ability to add warehouse location indication to product list line

A product store location code can now also be specified for a product list line. This functionality is currently limited in use because it is not yet possible to indicate that the product can be found at a new store location. It only works for 'existing' product store locations. In the next update of RetailVista, new products can also be specified at locations.

EDI

(Version 19.17.7206.38592) Task 18876 - Indicate successful and failed processing of Clockt messages

From now on, after importing Ekt / Clockt auction messages into an EDI packing slip, it will be indicated how many messages were successfully and unsuccessfully processed.

Labeling

(Version 19.17.7206.36426) Task 18722 - Indicate whether an article or label layout is a track & trace article/label

It is now possible to indicate that an article is a Track & Trace article. In label definitions, it must also be indicated whether it is a Track & Trace label. When printing article receipts, only the articles that match the chosen label layout in terms of Track & Trace will be printed. So if a Track & Trace label layout is chosen, only articles that have Track & Trace checked will be printed (and vice versa). This adjustment is especially important for the ViridiCode functionality. Data matrix (ViridiCode) labels will be printed for plants with a VBN code, while other plants/products will receive standard labels with Ean13 or similar barcodes.

As part of the update, all articles linked to a standby article (i.e. all VBN plants) will be marked as Track & Trace articles. It is only important to also mark the ViridiCode label layouts as track & trace labels.

(Version 19.6.6997.Task 18494 - Possibility to print the week number as, for example, JWW (201J and WW=Week number) on Thermal Label Rataplan

On thermal labels, a variant of the current year and week number can now be printed. For this purpose, the fields <year1_x>, <year2_x>, and <week_x> have been added.

The field <year1_x> returns the last digit of the year, in this case 9 from 2019. The field <year2_x> returns the last 2 digits of the year, in this case 19. The field <week_x> indicates the week number with 2 digits, with a leading 0 for the first 9 weeks of the year. The determination of the week number is based on the settings in RetailVista.

(Version 19.12.7058.30032) Task 18371 - Linking Windows (Local Services) printer to label classification

When maintaining 'printers', an optional label classification can now be set for a printer. Then, for a label layout, the corresponding label classification must be indicated. In the print screen of thermal labels, a label layout must be chosen. By doing so, the list of available printers is adjusted, and only printers that support the chosen label classification are shown. This adjustment reduces the chance of selecting the wrong printer.

(Version 19.5.6985.28728) Task 16149 - From/to price on label, even with percentage discount

The final article price on a label (after deducting the discount) is now also calculated and filled in for percentage promotions. Previously, this field remained empty, preventing the price after discount from being printed on labels.

Exchange Excel import

(Version 19.13.7079.30087) Task 18611 - Importing products in Exchange based on VAT percentage instead of code

Previously, Excel sheets had to be imported in 2 steps, first all high, then all low. This takes a lot of time and results in two transactions without measures. Now it is only possible to import based on VAT code. The percentage is not a unique data, but in practice it often is. From now on, when importing, a new column 'VAT percentage' can be used. An attempt will then be made to find the VAT rate based on that percentage. If there is more than one result, the line will be rejected with a message that multiple VAT rates with that % have been found and that the VAT rate cannot be determined as a result.

(Version 19.7.7002.30087) Task 18455 - Excel import gives error message when barcode is empty

As a result of the introduction of text barcodes, the Excel import failed when empty numeric barcodes were offered afterwards. This issue has been resolved.

(Version 19.4.6974.31233) Task 17865 - 'Own purchase price' cannot be imported within the purchase data of a product

From now on, the own purchase price can also be imported as a column in the Excel import in Exchange.

Billing

(Version 19.15.7187.22388) Task 18764 - Please include the sending of Desadv messages in the log

Outgoing Desadv (delivery note) messages will now be sent as 'tasks'. This enables logging of the shipment. If a Desadv message cannot be sent, it is now clearly visible in the log of the task.

(Version 19.13.7079.22634) Task 18466 - Ability to import MT940 file in RetailVista

From now on, it is possible to import MT940 files in RetailVista. These are bank statement files. There is a separate QA available on how to set this up and how it works afterwards.

(Version 19.6.6997.22634) Task 18186 - Being able to assign a project to a delivery when invoicing

It is now possible to link a project to a delivery when invoicing. This can be useful for later retrieving all related deliveries from a project and calculating, for example, the total invoiced amount per project.

Financial exports

(Version 19.14.7145.26461) Task 18323 - Integration with Afas

From now on, RetailVista can also integrate with Afas as a financial administration system. There is a separate Q&A available on how to set up this integration. Journals are exported for cash accountability, sales invoices, inventory, and purchase invoices.

Purchase invoice control

(Version 19.14.7145.26461) Task 18720 - VAT from purchase line must still be used in journal export

From now on, a VAT specification is also exported based on the invoice lines when exporting general ledger mutations of purchase invoices. Due to this adjustment, it is mandatory to provide a valid VAT code for all purchase invoice lines. When scanning purchase invoices via, for example, Abbyy, there is a chance that a line does not have VAT. Until this is manually adjusted, the purchase invoice cannot be changed from 'New' to another status.

(Version 19.13.7079.22634) Task 18497 - Create maintenance screen for InboundInvoiceDiscountSurchargeTypes

There was no maintenance screen for purchase invoice discounts and/or surcharges. This screen has now been created. It is possible to indicate whether the discount or surcharge should be equalized over the underlying invoice lines or if the discount or surcharge should be journaled 1:1 alongside the invoice lines.

Purchase Orders

(Version 19.15.7187.22388) Task 18756 - Make the linked sales order visible from a purchase order

A link to the corresponding sales order is now displayed from the purchase order. By clicking on this link, you will be redirected to that sales order. Of course, this functionality will only work for linked sales orders. It depends on the implementation and applications used whether this is the case. In many situations, sales orders are also 'counted' towards purchase orders, in which case this link is not present (of course).

(Version 19.8.7009.29837) Task 18477 - Purchase order Excel import does not process alphanumeric barcodes

From now on, alphanumeric barcodes can be imported in addition to numeric barcodes for purchase order Excel imports.

(Version 19.4.6974.31233) Task 18316 - Closing purchase orders does not take selection into account properly, too many are closed

There was a problem with selecting the purchase orders to be closed (checking) which could lead to closing too many purchase orders in certain situations. This issue has been resolved.

From now on, the cost center will also be exported in the Afas export. A cost center can be specified for the branch (general tab). In Afas, cost centers are called 'Specifications'.

Loyalty

(Version 19.15.7187.22388) Task 18853 - Expand loyalty card alias to 60 characters

The loyalty card aliases have been expanded from 20 to 60 characters. This makes it possible, among other things, to use a loyalty card with a QR code. The QR code is relatively long but can now be entered as an alias.

Receipts

(Version 19.12.7058.30032) Task 18612 - Able to read pre-printed barcode from Excel sheet in receipt line

When importing an Excel document in article receipt, a column can now be chosen for reading a pre-printed barcode. This column will record the pre-printed barcode in the article receipt and can then be selected to show receipt lines with or without a pre-printed barcode. This will make it possible to print labels for articles that are not pre-printed with a barcode.

(Version 19.17.7206.36426) Task 18604 - Add scenario support and number of price fields to article receipt

The following fields have been added to the receipt line in the 'Extra' tab for a number of base prices:

- Sales price from packing slip message (EDI)

- Calculated sales price (based on calculations using purchase price)

- Last sales price (based on previous delivery of the same article from receipt)

A scenario can now be chosen for the article receipt itself, which determines, among other things, how the sales price from the receipt line should be calculated.That can be calculated based on the packing slip sales price, the calculated sales price via purchase, the last sales price, or not at all. Up to 5 price determination choices can be made per scenario. If the first price determination does not yield any results, the second price determination is executed. If that also does not result in anything, the third price determination is executed, and so on.

The advantage of these separate fields is that the different price fields can be displayed side by side so that, for example, the last sales price, the calculated sales price, and the current sales price remain visible. All this functionality revolves around 2D barcodes, where the sales price is part of the 2D barcode and is therefore used by the cash register.

(Version 19.15.7187.22388) Task 18602 - Number of new fields in product receipt line

The following additional fields have been added to the product receipt line and can be found in the 'Extra' tab.

- Preprinted barcode > This indicates whether the product has already been barcoded or whether labels still need to be printed. This field is initially always filled with 'Yes', it is assumed by default that products have already been barcoded. This will usually be the case in practice. The only meaningful way to fill in this field is when an EDI packing slip message indicates whether an article is already barcode labeled or not. This seems to be technically possible, especially with auction EKT messages. Some plants come with preprinted barcodes, others do not.

- Free info: In this field, a free text / comment can be placed. This can, for example, be done after a packing slip has been read in, to indicate that promotion is desired for certain lines. In the search filter screen of the receipt lines, it can now be indicated that only the lines containing free text should be displayed.Also, in the grid rules, a column 'Free text y/n' should be displayed, where only 'Yes' or 'No' indicates that there is free text present. The actual text can then be displayed as a tooltip at the end of the grid line.

- Container indication: A container code/number can be indicated for each article receipt line. This allows plants to be linked to, for example, a CC cart so that after scanning the container (CC cart) barcode, it is known which plants are on that cart. Stickers can then be printed for only that cart. It is attempted to arrange that the EKT message will include a container (CC cart) code for each line.

In the received article maintenance screen in the rules search screen (advanced search above the grid with receipt lines), it is now also possible to search on the following fields:

- Preprinted barcode: This allows filtering of which lines labels need to be printed

- Cash group, article category: This allows selection based on cash group and/or article category, so that, for example, indoor plants are printed first, then garden plants, etc.

- Container: This allows only labels to be printed for a specific container (CC cart)

(Version 19.13.7079.22634) Task 18555 - From receipt, do not update gross selling price of article in case of standby article

An option can be set in the article receipt to indicate that the selling price from the article receipt line should also be transferred to the article itself. From now on, this is ignored for 'standby' articles, as it does not make sense to adjust the selling price of the article itself. Standby articles (plants) do not have a base price. Therefore, this setting is now ignored for standby articles.

(Version 19.15.7187.30032) Task 18551 - Can recalculate sales prices when importing delivery note messages

If a user has the calculation license, the sales price will now be calculated based on the purchase prices of a delivery note message. This calculation always takes place, and the result is stored in a separate field 'calculated sales price', visible in the 'Extra' tab in the product receipt line. The product receipt scenario determines what will be done with that price.

If there is a calculation factor for the product category of the product and the supplier of the product receipt, then the specified VAT% will be used. If that combination does not exist, then it will be checked if there is a calculation factor for only the supplier of the product receipt. If that also does not exist, then the specified VAT% for the product category will be used. If that percentage also does not exist, then a sales price cannot be calculated and it will remain unchanged. If a VAT% is found, the theoretical sales price will be calculated. Then the VAT% will be added, and finally, the calculated price will be rounded according to the rounding table from the calculation module.

(Version 19.12.7058.30032) Task 18520 - Can specify a different product description in received product line

Especially when importing delivery notes with VBN codes, there are 'collective' VBN codes where the plant description is not very informative. From now on, it is possible to specify a different description in the product receipt line. This description will be printed when printing labels. It will also be used in the cash register on the screen and receipt.

(Version 19.8.7009.29837) Task 18518 - Can import delivery note messages from Abbyy

From now on, delivery note messages from Abbyy can also be imported and processed in RetailVista.

(Version 19.12.7058.30032) Task 17551 - EDI booking on delivery note date

When booking an EDI delivery note, a custom receipt date can now be specified. By default, the system date is suggested. By adjusting this date, the inventory will be recorded on that adjusted date.

(Version 19.5.6985.28728) Task 16692 - Would like to be able to directly delete a line from a receipt, without having to open the line first

In the article receipt, there is now an 'x' symbol next to each line to delete that line directly. This is faster than double-clicking the line first and then choosing to delete it.

(Version 19.12.7058.30032) Task 16066 - Export receipt to article list

From now on, it is possible to export a receipt to an article list.

(Version 19.13.7079.22634) Task 8022 - Make purchase invoice immediately payable, even before final check

Once a purchase invoice has a status of 'Input complete' or 'Input checked', a journal is already created for this purchase invoice. This allows the invoice to be paid in advance through the financial administration. The control process (and any credit invoices that result from it) can then take place at a later time and will no longer affect the previously created journal.

POS

(Version 19.16.7200.21901) Task 18714 - Ability to run statistics based on POS terminal category

From now on, categories can be linked to POS terminals. Then, in 'Advanced Statistics', reporting can be based on a specific category. This essentially shows the sales made on certain POS terminals. The practical application of this is that, for example, the hospitality sector can be excluded from reports, so that an accurate average spending can be calculated.By linking all hospitality terminals to the 'Hospitality' category, a report can be generated exclusively for hospitality (or, for example, garden center cash registers).

Promotions, discounts

For bonus points, an article condition and/or a sales condition can now be assigned to a rule. The rule will only be applied if the condition is met.

Reports

(Version 19.16.7200.21901) Task 18468 - Loyalty card mutation report

A new report 188, Loyalty card transactions, has been added to the loyalty homepage. This report allows printing an overview of all deposits and withdrawals on one or more loyalty cards.

(Version 19.13.7079.22634) Task 18367 - Add inventory aging analysis report

From now on, a new report 'Aging Analysis' (rep 192) can be printed from the inventory homepage. This report shows the current stock level and value per article, supplemented with the quantity and value of article receipts from year to year. For example, this report can easily identify slow-moving items, which are items that still have stock but have not been purchased for years.

(Version 19.6.6997.22634) Task 17096 - Report with outstanding balances of a debtor

When entering email addresses, RetailVista performs a number of checks on the validity of that address. These checks have been further updated as some valid email addresses were marked as invalid.

Reservations

(Version 19.15.7187.22388) Task 18724 - Link and mention incoming file for reservation

For reservations, the file number of the file that was the basis for creating the reservation will now be mentioned in the 'Advanced' tab. In practice, this will only be filled in for integrations with WMS systems. In such situations, the WMS is leading and informs RetailVista about delivered products. With this adjustment, the WMS file that is the basis for this can be easily found.

(Version 19.16.7200.21901) Task 18692 - Create a distinction between logistic status and delivery status of reservation

In the reservation status, the order picking went through the actual reservation status. Intending to improve the picking and issuing process, a distinction has been made between the delivery status and a logistic status. In future updates of RetailVista, this new field 'Logistic status' will become more meaningful. At the moment, it is mainly important for the sale of fireworks. RetailVista POS can then indicate that a reservation has already been picked. This change is not backward compatible, so it is important that fireworks sales points use the new corresponding POS version 19.

Use version 19.14.7145.26461 - Task 18675 - Task 14327 to undo, it should be possible to deliver more than ordered

From now on, it is possible to deliver more on a sales order (via reservations) than what is ordered. The chance of this happening is small, but it can occur and must be processed as such by RetailVista.

Use version 19.14.7145.26461 - Task 18674 - Print reservations with photo

An article photo has been added to the dataset on customer reservations (report 100), in the same way as sales order report 105.

From now on, any deviating delivery address from the sales order will also be taken into account.

Use version 19.12.7058.30032 - Task 18591 - Be able to click through to delivery on account from reservation (if applicable)

It was already possible to click through from a sales order to a reservation. From the reservation, it is now possible to click through to the delivery on account, provided that the reservation has been delivered on account. Unfortunately, it is not (yet) possible to easily return to the reservation from the delivery on account. The click-through functionality to deliveries can be found by clicking on the delivery on account number in the reservation screen.

Use version 19.12.7058.30032 - Task 18588 - When converting a reservation to a delivery on account, the deposit amount transferred is too high

When converting a reservation to a delivery on account (if a deposit has been made on the sales order), a contra entry is made on that deposit. This counter-booking was always equal to the full deposit amount, which should have been the amount for which products were delivered on account. This mistake has been resolved.

(Version 19.11.7037.24328) Task 18569 - When automatically converting reservations to deliveries on account via WMS processing, please add more logging if conversion is not allowed

The entire logging during the processing of messages from the WMS has been greatly improved. The task logging now provides much more information about the decisions made during the processing of a message.

Statistics

From now on, the article statistics card also includes a new tab 'Receipts'. This tab only shows all article receipt lines for the selected article. Previously, there was a 'Stock mutations' tab available, but it also included sales, stock corrections, etc. With this new tab, only receipt data is shown and all associated columns can be selected as display columns.

From now on, statistic 231 can be executed. This statistic displays the sales per plant (VBN number).

When sending a sales message (slsrpt) via EDI, the supplier receipt is now also taken into account for the sale of ViridiCode plants. Task Scheduler

The display of tasks has been improved. Filters have been introduced, and its speed has been greatly improved.

(Version 19.11.7037.24328) Task 18573 - Ability to automatically generate cash reconciliations

It is now possible to automatically generate cash reconciliations at a set time through the task scheduler.

(Version 19.11.7037.24328) Task 18570 - Move generation of cash and invoice journals from housekeeping to task scheduler

From now on, the generation of cash reconciliations and invoice journals can also be automated through the task scheduler. This feature was previously located in 'Housekeeping', a component that functioned invisibly and was not adjustable or traceable for end users. For now, housekeeping still works, but it takes into account a new setting called  'Task Scheduler application' in Extras -> Settings-> Financial section. This allows existing clients to be gradually converted from housekeeping to the task scheduler, where the entire process can be much better tracked.

Due to backward compatibility, this setting is set to 'Housekeeping (Obsolete)' by default. Therefore, a manual choice must be made to switch to the task scheduler, and a check can be performed to ensure that everything continues to work properly.

For file exports, an FTP authorization choice can now also be made in the settings (Financial section, Application tab). This only works when automatic exports of a journal type are activated and only when the export produces a file. From now on, the RetailVista Mobile scanner that created this order will be recorded for each sales order. This information can be seen in the 'Advanced' tab.

(Version 19.15.7187.22388) Task 18755 - Implement drop shipment support in RetailVista (phase 1)

Starting from the spring 2020 update of RetailVista, drop shipment functionality will be available. In anticipation of this, some applications have already been built-in:

- In a sales order line, it can be indicated that it is a drop shipment line

- In a sales order scenario (currently classified as classification), it can be indicated whether the drop shipment line indication should be suggested and whether it is mutable

- In a purchase order, it can be checked that the order is a 'drop shipment order'. This could not be done through the purchase order type because some types can also be drop shipments.

- When converting sales orders to purchase orders, the sales order lines marked as drop shipments are taken into account. These are placed in separate purchase orders with a 'hard' link back to the sales order. Each customer drop shipment order will therefore become a separate purchase order.

In the sales order search screen, it is now possible to search for sales orders with attention required yes/no/all. If yes is chosen, sales orders without a suppression date or with a date equal to today or earlier will be displayed. If 'No' is chosen, sales orders without a suppression date or with a date after today will be displayed.

From now on, it is possible to specify a date in a sales order until which the sales order is not visible by default in the sales order search screen results. This can be used, for example, by a customer service department that periodically reviews all orders. Once that is done, the order can effectively be made invisible until the next review. This prevents a colleague from reviewing the same order again the next day. Such sales orders are not shown by default in the sales order search screen, but it is possible to explicitly display the suppressed orders or even make all orders visible through a Yes/No/All filter.

In the sales order search screen, it is now possible to choose to display sales orders that have had a partial delivery. These are orders that often require extra attention because not everything has been delivered. For such orders, articles often need to be reordered or contact needs to be made with customers regarding items that are not available.

The ability to move a sales order to a different location was briefly available in RetailVista but has been discontinued as of this release. In practice, too many issues arose with payments for sales orders placed at other locations. The replacement for this functionality is called 'Dropshipment' and will be fully operational with the spring update 2020 of RetailVista.
