Set Product Inventory

This guide describes the setting to automatically calculate inventory, so that purchase orders can be generated for inventory items. This can be used to fill the shelf or replenish the inventory that has been sold. The required inventory can be calculated based on the entered data: number of sales days, number of inventory days, and the minimum inventory.

A license is required to use this module.

Settings for using auto inventory:

Extra -> Settings -> Inventory Section -> Auto Inventory Tab

Automatic inventory: Indicates that automatic inventory is used.
Dump calculation: Indicates that the inventory calculation is displayed under the 'Optimal inventory log' tab.
Minimum inventory days: Indicates how many days the minimum inventory should be calculated for.
Maximum inventory days: Indicates how many days the maximum inventory should be calculated for.
Sales days: Indicates based on how many sales days the inventory should be calculated.
Auto inventory Monday: Indicates that the auto inventory is calculated every Monday.

If the auto inventory needs to be calculated every day, each mentioned day should have the value 'Yes'. The auto inventory will then be calculated every night by default.

We recommend starting with 1 supplier, for example, to set this up and then expanding further if it goes well.

Set auto inventory at levels

There can be deviations from the default settings at different levels.

The levels are hierarchical: Settings -> Branches -> Suppliers -> Brands -> Product Categories -> Branch Products

At all these levels, it concerns the settings on the 'Optimal stock' tab.

Ignore the following optimal stock settings. By unchecking, it indicates that the settings at this level are taken into account.

Calculate optimal stock: By checking, it indicates that the optimal stock is calculated for this branch, supplier, brand, product category, or branch product. This depends on the level at which it is set.
Min stock days: This indicates how many days the minimum stock should be calculated for.
Max stock days: This indicates how many days the maximum stock should be calculated for.
Sales days: This indicates based on how many sales days the stock should be calculated.

At each level, it is indicated at the bottom what the previous level is and what the next level is.

Manually calculate stock

The stock is automatically calculated every night by default, based on the settings under Extras -> Settings -> Stock section -> Auto stock tab. See also the description above.

It is also possible to manually calculate the stock, for example, if the settings have recently been entered or changed.

Start -> Stock -> Calculate auto-stock

Based on branch, supplier, brand, product category, and/or product, the optimal stock is manually recalculated.

Optimal stock log

In the product maintenance, the optimal stock is visible per branch on the 'Availability' tab.

On the 'Optimal stock log' tab, you can see how this optimal stock has been calculated.

Generate purchase orders

Through Generate purchase orders, orders can be placed.

Start -> Purchase orders -> Generate purchase orders

For example, if a supplier is specified, purchase orders are generated based on the settings at the purchase order levels.

The report shows exactly what happened and based on what a purchase order was created or modified.

If there is already an existing purchase order from this supplier with the status 'New', the purchase order line will be increased by the quantity that should be ordered, according to the settings at the levels. If there is no existing purchase order, it will be created with the status 'New'. Now the purchase order can be checked and further processed.
